Updating

If you use the General Journal Entry (GIP) program to make changes after printing the register, you must reprint the register for audit trail purposes.

When you run the register, the program verifies that:

  • All accounts are valid; that is, the accounts are set up in the GL Account Maintenance (GMM) program and have an active status.

  • All dates are within open periods.

  • The debits equal credits for a consolidation code and period.

If errors exist, the program displays a message on the screen and prints the message on the register. You can use the General Journal Entry (GIP) program to correct errors.

Preview and Final Register

System options control whether the GL General Journal (journal code GJG) is produced and/or updated by this program. See System Options Maintenance (XM) GL Journal Options for further information about printing registers and posting journals.

The register includes this information:

  • Journal name

  • Journal description

  • Journal source

  • *** These Journal Entries are updated as reversal entries *** displays if you selected the Reverse? field in the General Journal Entry (GIP) program

  • Transaction number

  • Transaction date

  • Transaction description

  • Transaction reference

  • GL organization code

  • GL account number

  • Debit amount

  • Credit amount

  • REV if a reversal

  • *** These Journal Entries are updated as reversal entries *** displays on the total line of the register If you selected the Reverse? field in the General Journal Entry (GIP) program

  • Total debits and credits
