Background: GL External Journal Register

When you click Register in the Automatic Journal Maintenance (GMI) or GL Auto Import (GII) program, you can print journals from external sources and update the general ledger.

Preview and Final Register

The preview register lists the total debits and credits for the journal. You can post to the general ledger only if the debits and credits balance.

When you print the GL External Journal Register, these documents print in this order:

If these options are selected:

  • Print journal after register? option in the System Options Maintenance (XM) program (GL Journal Options)

  • Print GL jrnl in preview mode? run time option in this program

Final register

If this option is selected:

  • Allow final reg upd? for this user in the User Maintenance (UIM) program

Final journal

If these options are selected:

  • Allow final reg upd? in the User Maintenance (UIM) program

  • Print journal after register? option in the System Options Maintenance (XM) program (GL Journal Options)

The register includes this information:

  • Journal name

  • Sequence number

  • GL organization code

  • Account number

  • Account description

  • Transaction date

  • Debit amount

  • Credit amount

  • Total number of transactions

  • Total debits

  • Total credits
