Set Control Number Options

Select Control Number Options in System Options Maintenance (XM) to define the format of serial and lot control numbers by branch or for your enterprise.

Set these options:

Select how you want the system to assign serial and lot control numbers:

Y	Assign control numbers by item; depending on the constant you select, the same number could be assigned to more than one item
A	Assign control numbers sequentially; the same number will never be repeated For serialized items, select A to ensure that each serial number is unique; i.e., two different items cannot have the same serial number. This option applies to serial numbers whether they are generated by PowerShift or assigned manually.
N	Not assign control numbers

If you select Y or A, you must select G for the L=Local or G=Global option.

If you select Y, the system stores control numbers for each item at the enterprise level. Click Last ctrl no in the Enterprise Item Maintenance (IM) program to set the starting number for a controlled item.

If you select A and you are using system-assigned control numbers, the system stores the last control number generated. Click Set number to enter the starting number.

When you receive controlled items into inventory, the Receiver Maintenance (IRC), Receiving and Inspection (IRI), and Rejected Material Disposition (MRB) programs can assign the next sequential serial or lot control number. The Material Control History Inquiry (MCHI), Controlled Item Tracking (MLD), and Control Number Cost Maintenance (ICC) programs display information for specific control numbers.

Assigned control numbers that become unassigned as a result of reduced quantities, closing short, or reversing a receiver, are not saved for reuse. The last number issued is tracked and sequential numbers advance from the last number issued.

L=Local or G=Global

Select L (local) to store and increment control numbers by branch or G (global) to store and increment them enterprise-wide.

If you selected Y or A for Control numbers by item?, you must select G.

Constant code

Required

Select the code for the constant you want to use or leave blank if you do not want a constant:

ACTCDE	The inventory account code in the Invty acct code field in item's record in the Enterprise Item Maintenance (IM) program
BRANCH	Branch code for the user's login branch
BUYER	The buyer code in the item's record in the Buyer field in the Branch Item Maintenance (IMB) program
DOY	Day of year; for example, 321 for the 321st day of the current year
PLANNR	The planner code in the item's record in the Planner field in the Branch Item Maintenance (IMB) program
PRDCLS	The product class in the Product class field in item's record in the Enterprise Item Maintenance (IM) program
SPDCLS	The product subclass in the item's record in the Product subclass field in the Enterprise Item Maintenance (IM) or Branch Item Maintenance (IMB) program
USER	User-defined code When you complete data entry or press F10, the program will prompt Enter constant value to include in serial numbers. Enter a unique identifier (6 alphanumeric characters maximum) for the code you want to create.
WOY	Week of year; for example, 40 for the 40th week of the current year
YDOY	Year + day of year (yy + 3 digit day); for example, 15013 for the 13th day of 2015
YWOY	Year + week of year (ccyy + 2 digit week); for example, 200540 for the 40th week of 2005

The constant code you select determines the number you can enter when you click Set number.

Constant code 2

Optional

Constant code 2 is concatenated to the first constant code and trailing spaces are dropped when creating the control number.

P=Prefix or S=Suffix

Required

Select P to make the constant a prefix or select S to make the constant a suffix in serial and lot control numbers.

Control number length

Required

Enter the numeric length of the control number.

The total length of the constant code plus the control number cannot exceed 16. Therefore, the control number length depends on the constant code you selected.

The maximum is 15 if you did not select a constant.

When using two constant codes you must assign a control number length that will allow for the maximum length of the two constants.

Block auto-assignment of control nos?

Conditional/Optional

If you selected G for L=Local or G=Global, select if you want to require manual entry of control numbers for serial or lot controlled items or leave blank if you do not.

If you select, your receiver must enter a number in the Enter starting serial number or Enter stocking lot number field. Leaving those fields blank is not allowed.

Choose the appropriate options:

Change an option	Click on the field and make required changes.
Exit without updating these options	Click Cancel.
Print these options	Click Print. See Print an Inquiry.
If you did not select Control numbers by item?, set or change the last serial number used	Click Set number. See Set the Next Control Number If you selected Y for the Control numbers by item? option, the program displays the message Starting numbers for control numbers by item are maintained in IM. Click Close. Run the Enterprise Item Maintenance (IM) program, enter the number of a serial or lot controlled item, and click Last ctrl no.
Accept these options and exit	Click OK.

If you changed the L=Local or G=Global or Constant code fields, the program prompts Serial number parameters have changed. Do you want to clear the last control numbers used?

(Conditional) Click Yes to clear the last control number used or click No or Cancel to retain the last control number you previously entered.
Choose the appropriate options when you click OK or Cancel:
