Enter the Inventory Count

Use the Physical Count Entry (HCE) program to enter the quantity you counted of each item in the physical inventory cycle and change the existing count. See Background and Road Map for more information.

The program displays the cycles that you have set up with the Cycle Count Preparation (HCP) program. See Cycles for a description of the columns.

  1. Highlight the cycle that you counted and click Select or double click the line. For each unique item/location/control number, the program displays these fields:

Enter the count for a specific item/location/control number

Highlight the line and click Select or double click the line. See step 3.

Print the list of items

Click Print. See Print.

Void a line or tag that you do not plan to count

Highlight the line that you do not plan to count and click Void. The program prompts for confirmation. If you opt to void the line, the status is displayed as Voided.

Enter the count for a single line or tag

Highlight the line and click Select. Enter the Physical qty and, optionally, a remark of up to 40-characters. Click OK to return to the list of lines/tags.

Enter counts for multiple items/locations/control numbers

Highlight the line you want to start with and click Count. See step 3.

Enter a remark about a line or tag

Highlight the line and click Remarks. Enter a comment of up to 40 characters and click OK.

The remark prints on the Inventory Deviation Listing and is written to the Material History (MH) file (displayed by Material History Inquiry) when the cycle is updated (i.e., by Physical Inventory Update).

Enter a count of 1 for a range of sequential serial numbers

Click Range. The program prompts for the item number. starting serial number, ending serial number and a control total. The range is processing when you click OK.

  • The control total you enter must match the number of serial numbers in the range you specify. For example, if serial numbers 1-5 need to be counted, enter 5 as the control total since there are 5 serial numbers starting from 1 and ending at 5 (i.e., the range includes the starting and ending numbers).

  • All serial numbers in the range you enter must be in the cycle. For example, if serial numbers 1-5 and 7-10 need to be counted, you cannot enter a range from 1 to 10 since 6 is not in the cycle.

  • If the range is successfully processed, the program reports how many serial numbers were counted. If an error occurs (e.g., a serial number was already counted) while processing the range, the program reports that the range was partially counted.

Exit the program

Click Exit.

  1. When you click Count, the program displays details about the selected line/tag and prompts for Physical qty. Accept the quantity or enter a different count for this item in the Physical qty field and press Enter.

    The program displays the next line/tag to be counted and prompts for the count.

    Information from the lines/tags you entered is summarized on the lower-portion of the screen.

  2. When you click Exit or enter a count for the last item in the cycle, the program prompts Set all open entry quantities to zero?

  1. Click Yes to enter 0 (zero) for all items that you have not counted or click No to leave them uncounted.

    Note
    If you click Yes, you will be able to enter the counted quantity at a later time with this program. However, if you run the Missing Line/Tag Listing (HMR), no lines or tags will print because all items have counts.
