Display a Summarized Sales Order

Use the Sales Order Line Inquiry (OIQ) program to display a summarized sales order. See Background and Road Map for more information.

If you accessed this program from another program, skip step 1.

  1. Enter the order number or click the Lookup icon and use the standard lookup options to select the order from a list.

  2. The program displays these header fields:

Field Name

Displays

Order no

The number you entered or selected

Cust no

The number of the customer that placed this order

Ship-to no

The customer's ship-to number for this order

Dest cust no

The customer's number if you are shipping to the bill-to address or the number of the customer's customer if this is a dealer who had this order shipped directly to the end user

Date wanted

The date the customer wanted the order to be shipped

Ship branch

The branch that will ship this order

Entered by

The  user ID of the person who entered the order

EDI

Order imported via EDI and transferred to a sales order

PRJ

Order created by the project system and transferred to a sales order

QUO

Quotation transferred to a sales order

RBS

Repetitive billing order

RMA

Return Material Authorization credit memo or replacement order

S/O

Sales order

On hold? Whether this order is on hold for a non-credit reason
Credit hold? Whether this order is on credit hold, either because the customer is on credit hold or the amount of the order exceeds the customer's order or  credit limit

Sls branch

The branch that took this order

Cust PO no

The customer's purchase order number

Cust name

The customer's name

Ship-to name

The customer name for this ship-to address

Dest cust name

The customer's name if you are shipping to the bill-to address or the name of the customer's customer if this is a dealer who had this order shipped directly to the end user

Net amount

The net amount of this order: ((Quantity ordered x Price) - Line discounts) - Order discounts

Price code

The price code assigned to this customer in the Customer Maintenance (CM) program

Tax

The tax code for this customer and order

Ship via

The code that identifies the carrier used to ship this order

Status

The status of the order. For example:

New order

This is a new order; a shipment has not yet been created for it

New, sent to whse

New order is dispatched to warehouse but still maintainable

In picking at whse

Warehouse controls; order is not maintainable

Whse pick cancelled

Warehouse released control for order maintenance

In process

A shipment has been created for the order or the shipment has been confirmed

In process (Credit memo)
In process (Debit memo)

A credit or debit memo has been issued for the order in the One-Step Invoice Entry (RE) program

In process (One-step)

A shipment has been created and confirmed with the One-Step Invoice Entry (RE) program

Cancelled

This order has been cancelled

Shipment [number] in picking

This shipment has been created and is awaiting picking

Shipment [number] confirmed

This shipment has been created and confirmed

Invoiced

An invoice has been created for the order with the AR Invoice Register (RR) program

Invoiced (One-step)
Invoiced (Credit memo)
Invoiced (Debit memo)

An invoice has been created for an order, credit memo, or debit memo entered with the One-Step Invoice Entry (RE) program

For each line on the order, the program lists:

The quantity that the customer ordered

Qty open

The quantity that has not been shipped

Qty shipped

The quantity that has been shipped to the customer

Sls UOM

The sales unit of measure for this item

Stk UOM

The stocking unit of measure for this item

Selling price

The price for one unit

Extended amount

The total price of this line: Quantity x Selling price

Extended wt

The total weight of the quantity ordered,open or shipped: Quantity x Weight per UOM from the item's record in the Branch Item Maintenance (IMB) program

Click Prog opts and then click the Program tab to specify which quantity is used.

Extended vol

The total volume of the quantity shipped: Quantity x Volume per UOM from the item's record in the Branch Item Maintenance (IMB) program

Exp ship

The date this item is expected to ship, or if it has already shipped, the date it shipped

Date wntd

The date the customer wants the item

Cust item no

The customer's item number for this item, if one exists

Date ent

The date the order line was entered

Date prom

The date you promised the item would ship to the customer

Sts

The status of the order line

Choose the appropriate options:

Display the associated manufacturing order, transfer, purchase order, or requisition for a line

Highlight the line and click Supply. See Display Supply. Click OK to return to this program.

Display shipment information

Highlight a line and click Shipment and then:

These buttons function only if the audit trails for the Sales Order Header (O1A) and Sales Order Lines (O1) are active.

View or import documents associated with the order

Click Documents.

  • Click View to view archived and imported documents, See Display Document Archive. The View button is active only if archived documents are available.

  • Click Import to import a document for this invoice.

Specify a different sales order

Click OK.

Exit the program

Click Exit.

  1. When you click Prog opts:

    1. Click the Runtime tab to set runtime options. See Set Options for Reports and Inquiries for more information.

    2. Click the Sort tab to set sort order.

    3. Click the Program tab to set these program specific options:

Select the quantity on which you want to base the extended amount, weight and volume calculations:

  • The order quantity (i.e., quantity open plus quantity shipped)

  • The open quantity (i.e., quantity ordered minus the quantity shipped)

  • The shipped quantity (i.e., quantity ordered minus the quantity open)

    1. Click Refresh to redisplay current options.

    2. Click Save to save these options for future use.

    3. Click OK to apply these options or click Cancel to exit the program without applying them.
