Enter an Adjustment to a Closed Period

Use the Closed Period Adjustments (GIC) program to enter a general journal adjustment or correction to a closed period, optionally using short format, change an existing journal entry, and print the Journal Adjustments Register. See Background and Road Map for more information.

Warning
Adjustments may affect profit for the period and year. You may need to make additional entries re-balance your reports. You should re-run your financial reports and the GL Trial Balance (GTB) after you make adjustments to verify balances. You may also need to make adjustments to subsequent closed periods and recalculate subsequent open periods.

  1. Click Add if journal entries exist. The program prompts Journal name.

  2. Enter the journal name (10 alphanumeric characters maximum) that you want to use for these entries. This code appears as part of the transaction when it is posted, identifying the source of the transaction.

     

  3. Enter a longer description to explain the purpose of the entries.

  1. Click Detail or OK.

  2. Enter data in these fields:

Select the GL organization to be debited or credited with this transaction. You can use more than one organization code within a journal.  However, all organizations must be in the same consolidation.

Enter the account for this transaction or click the Lookup icon and use the standard lookup options to select the account from a list.  

Trans date

Accept the displayed date, select another date, or enter a date shortcut for the transaction. The posting date must be in a closed period.

For subsequent transactions, the program defaults to this date.

Debits

Enter the debit amount or leave blank.

 

Credits

Enter a credit amount or leave the field blank.

Note
If you leave both the Debit and Credit fields blank, the program deletes the transaction number and the transaction does not post to the GL transaction file with a zero amount.

Accept the displayed reference, which is the journal name or enter another reference that you want to display when you view the account with the GL Transaction Inquiry (GTI) program.

Enter an additional information about this transaction.

  1. Enter the same fields for the offsetting transaction.

  2. Clear the Trans number field when you have entered all transactions.

  3. Choose the appropriate options when you complete data entry:

  1. Click Register to print the Journal Adjustments Register or choose the appropriate options when you click Exit:

Move the cursor to the field, enter correct information and click Apply.

Delete this journal

Click Delete. See Delete.

Exit without updating the journal

Click Cancel.

Display or enter additional transactions

Click Detail.

Print the Journal Adjustments Register

Click Register. See Print the Journal Adjustments Register.

Accept the data and exit

Click OK. The program prompts Journal name. Enter another journal name or leave blank to exit add mode.

If the program displays the message Journal includes postings to accounts with different currencies, click OK.
