Display Vendor Invoices

Use the AP Inquiry (NI) program to display invoices from vendors and determine payments owed to vendors. See Road Map for work flow.

  1. Enter the vendor number or click the Lookup icon and use the standard lookup options to select the vendor from a list. The program displays the vendor's name, phone number, currency, and tax type: 1099, GST, or No tax.

  2. The Print in summary or detail program option determines the fields initially displayed. You can click Sum/Dtl at any time to switch between modes.

For a summary inquiry, the program displays these fields:

If you use a third-party system to pay AP invoices, Pend is displayed once the invoice has been selected for payment. The status is cleared when PowerShift receives information from the third-party that the invoice was paid.

Reference

The reference for the invoice. The reference is specified when the invoice is entered. If the invoice was system-generated, the PO number or, if it was generated for an ERS receipt, the packing list number (if entered when goods were received) is used.

Status

Indicates if the invoice is on hold.

  1. (Optional) Click Prog opts to review your options. To change them:

    1. Click the Runtime tab to set runtime options. See Set Options for Reports and Inquiries for more information.

    2. Click the Sort tab to set sort order.

    3. Click the Selection tab to select specific records.

    4. Click the Program tab to set these program specific options:

If you entered O for the Include O=Open, C=Closed, or B=Both? option, select to display only invoices that are overdue or leave blank to display all open invoices.

Select D to age on the date the invoice is due or select I to age on the date the invoice was entered.

    1. Click Save to save these options for future use.

    2. Click Refresh to redisplay current options.

    3. Click OK to apply these options or click Cancel to exit without applying them.

Display purchase order information for an invoice

Highlight the line and click Purchases or double click the line. See Display AP-Purchasing Detail by Invoice Number. Click OK to return to this program.

Display account distributions for an invoice

Highlight the line and click Invoice. See Display Invoice Distributions. Click OK to return to this program.

Display payment information for an invoice

Highlight the line and click Payment. See Display AP Payments. Click OK to return to this program.

Display journal details for a transaction

Highlight the line and click GL journal. See Display an Interface Journal. Click OK to return to this program.

Display 1099 information for a transaction

Highlight the line and click 1099 info. See Display Invoices for a 1099 Vendor. Click OK to return to this program.

This button displays only if the vendor's tax type is GST or 1099.

Display notes

Click Notes.

Display balances for each aging period

Click Age. Click OK to continue.

Specify a different vendor

Click OK.

Exit the program

Click Exit.
