Select Invoices for Payment or Adjustment

When you click Invoice Selection in the Cash Receipts Entry (RCE) program or in AR Adjustments Entry you selected the Default to invoice lookup? Program option and this is a new adjustment for the customer or you clicked Lookup, the invoice selection screen is displayed:

Customer

The customer number followed by the customer name

In Cash Receipts Entry (RCE):

     Payment/credits

The payment amount that you entered

     Total applied

The running total of the amount applied

     Payment/ref

The check number or payment reference that you entered

     Balance

The current balance: Payment - Total applied

In AR Adjustments Entry (RB):

     Total adjustments

The running total of the adjustments entered

The program displays a list of invoices for the customer:

The sales order and shipment number associated with this invoice

The date the transaction was entered

The date the invoice is due

The amount invoiced

Applied

The amount applied to the invoice (not displayed in summary mode)

Balance

The current invoice balance

Type

The payment type:
CA
: Credit adjustment
CM
: Credit memo
DA
: Debit adjustment
DM
: Debit memo
PY
: Payment
WO
: Write-off
**
: More than one transaction applies

Discount

The eligible discount amount based on terms

After the line is selected, the actual discount amount is applied.

Disc date

The date by which the customer must pay in order to be eligible for a discount

Disp

Selected: This invoice is disputed
Blank
: This invoice is not disputed

AR org

The GL organization associated with the invoice

Cust PO number

The customer's purchase order number

Sold-to customer

The customer that placed the order associated with the invoice

Review your options for this program

Click Prog opts. See Set Options for the Cash Receipts Lookup.

Select or de-select an invoice for payment

Highlight the line and click Select or double click the line.

Go to a related program

Highlight the line and click Jump. See Jump.

Display an invoice and/or mark it disputed

Highlight the line and click Invoice. See Mark an Invoice Disputed. Click OK to return this program.

Display transactions on an invoice

Highlight the line and click Detail. See Display Invoice Transactions.

Display details of payments that are pending for an invoice

Highlight the line and click Pending. See Display Pending AR Transactions. Click OK to return this program.

Display the customer's past payment performance

Click Pmt history. See Display Customer Payment Performance. Click OK to return this program.

Change the payment amount, discount amount or reference

  1. Highlight the line and click Modify.

  2. You can change the Payment amount, Discount amount, and Reference fields; the invoice balance,  potential discount and terms dates are displayed for reference.

  3. Choose the appropriate options:

    1. Click Cancel to exit without changing the payment information.

    2. Enter the correct data and click Apply to recalculate the invoice balance using the payment you entered.

    3. Click OK to accept the data.

Note
If the Cash receipts warning message active? system option (maintained in System Options Maintenance - Accounts Receivable Options) is selected and the invoice balance is lower than or equal to the write-off limit, a message alerting you to the fact is displayed.

Apply an adjustment to a transaction

Highlight the line and click Adjust. See Apply an Adjustment or Write-Off to an Invoice.

This button displays when invoice selection is run from Cash Receipts Entry (RCE).

Move an invoice balance to a different account receivable account

Highlight the line and click Transfer. See Transfer an Invoice Balance to Another AR Account.

This button displays when invoice selection is run from AR Adjustments Entry (RB).

Issue a payment for a credit balance

Highlight the line and click Refund in AP. See Create an AP Invoice to Refund a Credit Balance.

This button displays when invoice selection is run from AR Adjustments Entry (RB) and the customer has a credit balance.

Exit invoice selection

Click OK. See Enter Customer Payments or AR Adjustments Entry.
