Display a Customer's AR Transactions

Use the AR Inquiry (RA) program to display a customer's AR transactions and prepare aging schedules. See Background and Road Map for more information.

  1. Enter the customer's number or click the Lookup icon and use the standard lookup options to select the customer from a list.

    The program displays these fields:

The number and name of the customer you entered or selected

The currency for this customer

The phone number for this customer

Credit sts

Ok indicates the customer is not on credit hold; * Credit hold * displays if the customer is on n placed on credit hold

AR transactions for the selected customer are listed; the fields displayed depend on the Print in summary or detail program option.

In detail mode, the program displays:

The total amount of this invoice

Balance

The balance due on the invoice

Trans date

The date the transaction was made

Disp?

A check mark indicates an invoice under dispute; blank indicates not disputed

Notes

* indicates that notes were entered in AR Invoice Maintenance

Rsn cd

The reason invoice amount is being disputed

Prom pmt

The date the customer has promised payment

Prom pmt amt

The amount the customer has promised to pay

Sold to

The sold to number associated with the customer order (which may be different than the AR customer account number if you use AR consolidation accounts)

Customer PO

The customer's PO number entered on the sales order

The AR terms code

Terms desc

The description of the AR terms code

In summary mode, the program displays:

  1. Choose the appropriate options:

Print the invoice listing and aging categories

Click Print. See Print an Inquiry.

Go to a related program

Click Jump. See Jump.

Switch between summary and detail mode

Click Sum/Dtl.

Display the total amount for all invoices, and subtotal amounts if you selected Subtotal? for a sort option

Click Totals. Click Totals again to redisplay details.

Display the selected transaction

Highlight the line and click Detail or double click the line. See step 6.

Display the GL journal for the selected transaction

Highlight the line and click GL journal. See step 3. See Display an Interface Journal. Click OK to return to this program.

Display the notes for a transaction

Highlight the line and click Notes.

Display AR balances by due date

Click Age. Click OK to remove the aging display.

Exit this customer

Click OK.

Exit the program

Click Exit.

If you selected F for the Select F=Foreign or B=Base currency option, select the date to use for the currency exchange rate or enter a date shortcut. The inquiry uses the exchange rate in effect on this date.

Exclude customer deposits?

Select to omit customer deposits from the aging balance or leave blank to include them.

Specify a maximum of six aging categories. Enter the maximum number of days for each category; invoices that are less than or equal to this age are totaled in this category.

You can base the invoice age on the due date or the invoice date (see the option Age on I=Invoice or D=Due date above). The system always ages on-account payments and deposits in the first category, and always ages adjustments and payments with the invoices to which they were applied.

You can set the first category as -1 to include invoices that are due in the future; you should set the last category to 9999 if you want to include all invoices. You can leave categories blank. For example, if you only want 4 categories, you can leave 5 and 6 blank and set 4 as 9999. However, the number in each aging category must be greater than the preceding category.

If you do not define aging categories in this program, the system uses the default aging categories you specify in the System Options Maintenance (XM) program (Accounts Receivable Options).

Enter column headings for the aging categories you created. Examples are Future, Current, 31-60 days, 61-90 days, 91-120 days, and Over 120 days.

    1. Click Save to save these options for future use.

    2. Click Refresh to display current options.

    3. Click OK to apply these options or click Cancel to exit without applying them.
