Set Up a Substitute Item

Use the Item Substitution Maintenance (ISM) program to set up items that you can select to replace a component on a manufacturing order or an out-of-stock item on a sales order and change an existing substitute. See Background and Road Map for more information.

Enter the number of the primary item for which you want to create a substitute or click the Lookup icon and use the standard lookup options to select the item from a list.

The program lists the substitute items that are already set up for the specified primary item:

Field Name	Displays
Sub item no	The items that are substitutes for the primary item
Pref	A check mark indicates that this is the preferred substitute
Prmy pr	A check mark indicates that you use the primary item's price when you use this substitute item
UOM	The substitute item's sales unit of measure
Conv to sls UOM	The multiplier that from the substitute item's stocking UOM to sales UOM
Manufacturing use	A check mark indicates that you can change a manufacturing order for the primary item to this item (controlled by the Allow parent item change in MIM option in System Options Maintenance - Manufacuturing Options).

Choose the appropriate options:

To	Do This
Add another substitute	Click Add. See step 3.
Delete the selected substitute	Highlight the line and click Delete. See Delete.
Copy the selected substitute to create a new substitute (use to create equivalent substitutes: A can be substituted for B and B for A)	Highlight the line and click Copy. See Copy.
Display the selected substitute	Highlight the line and click Select or double click the line. See step 3.
Print the list of substitute items	Click Print. See Print.
Specify a different primary item number	Click OK.
Exit the program	Click Exit.

Enter or change data in these fields:

Field Name	Type / Max Length	Action / Description
Primary item no	Display only	The item for which you are adding a substitute item
Sub item no	Required	Enter the number of the item that you want to substitute for the primary item or click the Lookup icon and use the standard lookup options to select the item from a list. Note You can only change this field when you are adding a new substitute item.
Preferred?	Optional	Select if this item is the closest substitute to the primary item or leave blank if another substitute is preferred over this one. You can have multiple substitutes for one primary item but only one can be preferred.
Prmy item price?	Conditional/Optional	If this is an item you sell, select to charge the same unit price for the substitute as for the primary item or leave blank to use the price you set up for the substitute item.
Sales UOM	Conditional/Optional 4 alphanumeric	If this is an item you sell, select the unit of measure to use when you sell this substitute item.
Conv to sls UOM	Conditional/Optional 11 numeric in the format 999999.99999	Accept the default of 1.0000 if you sell and stock the item in the same units or enter a different conversion factor if you sell the item in different units than you stock it.
