Enter or Change a Branch Transfer

Use the Branch Transfer Maintenance (ITM) program to enter and change transfers to move items one branch to another. See Background and Road Map for more information.

Either the receiving or shipping branch can change a transfer. However, you cannot change a transfer after it has been confirmed shipped.

  1. Enter or change the data in these fields:

Click New or enter NEW if you want the program to assign the next available transfer number. Use the Numbering System Setup (XOC) program to set up a transfer numbering scheme.

OR

Enter a unique identifier (12 alphanumeric characters maximum) for the transfer number you want to create. You can do this only if the Allow override? option is selected for Transfer in Numbering System Setup.

OR

Enter the transfer number you want to change or click the Lookup icon and use the standard lookup options to select the number from a list.

Shipping status

Display

The shipping status of the transfer is displayed for information

Last shipment status

Display

The status of the last shipment is displayed for information

Receiving status

Display

The receiving status of the transfer is displayed for information

Receiving branch

Select the branch that is receiving the transfer.

Note
The receiving branch is maintainable only if the transfer has no lines. If the branch is not correct and transfer lines exist, you must close the transfer and enter a new one with correct branch information.

Shipping branch

Select the branch that received the transfer request and is shipping the items.

For the shipping branch, you must select a branch from your login inventory group.

Note
The shipping branch is maintainable only if the transfer has no lines. If the branch is not correct and transfer lines exist, you must close the transfer and enter a new one with correct branch information.

Accept the login date as the transfer creation date, select another date, or enter a date shortcut.

Expected ship date

Select the date the shipping branch expects to ship the items or enter a date shortcut.

If you created this transfer by releasing a transfer requisition, the system uses the Date wanted from the requisition.

Expected receipt date

Select the date the requesting branch expects to receive the items or enter a date shortcut.

If you created this transfer by releasing a transfer requisition, the system uses the Date wanted from the requisition.

Ship via

Select the code of the branch's preferred carrier

For an RMA transfer, this field defaults from the Branch Maintenance (TBM ) record of the receiving branch.

FOB

Select the Freight On Board code for this shipment, which identifies when ownership of an order transfers from you to the receiving branch

Freight terms

Select the freight terms code for this shipment, which identifies the branch's standard method of payment for freight

Incoterms code

Select the Incoterms (International Commercial Terms) code for this transfer.

If populated, Incoterms (rather than FOB) is printed on transfer documents.

Enter a reference for the transfer; for example, the customer's PO number.

Special instructions

Accept special instructions from the shipping branch, select a standard special instruction or enter special instructions to be printed on shipping documents.

For an RMA transfer, this field defaults from the Branch Maintenance (TBM ) record of the receiving branch.

Move the cursor to the field and make changes. Click Apply to accept the changes or click Cancel to abandon them.

Enter or change notes

Click Notes. See Enter or Change Notes.

Display data in custom fields your company uses

Click User.

This button displays only if you have set up user fields for this program in the User Fields Maintenance (XMO) program.

Display change history for this transfer

Click Audit. See Display an Audit Trail. Click OK to return to this program.

Note

This button functions only if you have activated logging with the Audit Trail Maintenance (XAT) program.

Add or change an item to be transferred

Click Lines.

If this is a new transfer, the program prompts for the first item. See step 3.

Cancel the transfer

Click Close TRN.

This button is not available if there is supply attached or if the transfer is in picking or was shipped but not yet received.                    

Create a shipment

Click Create ship. The program displays the shipment number created. Click OK to acknowledge the message.

Accept the changes

Click OK.

If this is a new transfer, the program prompts for the first item. See step 3.

Exit the program

Click Exit.

Add a line to the transfer

Click Add.

Delete a line

Highlight the line and click Delete.

Note

A delete is not allowed if the item status is obligated, in-picking, shipped or received, or the item is a specific supply for a parent demand order, or is a demand order for a specific supply.

You can, however, reduce the quantity to zero if the item is obligated.

Review or change a line

Highlight the line and click Select or double click the line.

Print the list of lines Click Print.
Return to the transfer header Click OK. See step 1.

This button displays only if the receiving branch has received at least part of the quantity requested.
