Enter an Override Authorization

Use the Employee Override Authorization (LOA) program to override an employee's shift record for a single day. See Background and Road Map for more information.

If you accessed this program by clicking the Emp ovrd button in the Employee Maintenance (LSA) program, skip step 1.

  1. Enter an employee number or click the Lookup icon and use the standard lookup options to select the employee from a list.

    Override entries for the employee are listed:

  1. Choose the appropriate options:

Click Add.

Delete an override record

Highlight the line and click Delete. See Delete.

Copy an override record

Highlight the line and click Copy. See Copy.

Display or change n override record

Highlight the line and Select or double click the line.

Print the list override records

Click Print. See Print.

Exit the program

Click Exit.

Accept or change the time after which the employee can clock in for work.

Use a 24-hr clock, with 0000 as 12:00 AM midnight. For example, enter 0745 for 7:45 AM or 1300 for 1:00 PM. When you complete data entry, the program adds colon separators (:) and displays 07:45:00 or 13:00:00.

Shift start

Accept or change the time the work shift starts.

Use a 24-hr clock, with 0000 as 12:00 AM midnight. For example, enter 0800 for 8:00 AM or 1300 for 1:00 PM. When you complete data entry, the program adds colon separators (:) and displays 08:00:00 or 13:00:00.

Shift end

Accept or change the time the work shift ends.

Use a 24-hr clock, with 0000 as 12:00 AM midnight. For example, enter 1700 for 5:00 PM or 2130 for 9:30 PM. When you complete data entry, the program adds colon separators (:) and displays 17:00:00 or 21:30:00.

Start of lunch

Accept the displayed default (from the employee's record in the Employee Maintenance), enter a different lunch start time, or clear the field and leave blank to use the lunch period associated with the employee’s shift in the hours calculation.

Use a 24-hr clock, with 0000 as 12:00 AM midnight. For example, enter 1130 for 11:30 AM or 1300 for 1:00 PM. When you complete data entry, the program adds colon separators (:) and displays 11:30:00 or 13:00:00.

End of lunch

Use a 24-hr clock, with 0000 as 12:00 AM midnight. For example, enter 1130 for 11:30 AM or 1300 for 1:00 PM. When you complete data entry, the program adds colon separators (:) and displays 11:30:00 or 13:00:00.

End of break 1

End of break 2

Grace period

The number of minutes that an employee can clock in late or clock out early when the Jump to shift start/stop? option is selected in System Options Maintenance - Labor Options.

For example, assuming a shift start time of 7:00 and a grace period of 5 minutes, a 7:05 clock-in will be rolled back to 7:00. Similarly, if the shift ends at 17:00 and the user clocks out at 16:55, the clock out time will be "jumped" to 17:00.  

If early/late minutes exceed the grace period, the actual clock time is used.

  1. Choose the appropriate options:

Change a field

Move the cursor to the field and make changes. Click Apply  to accept the changes or click Cancel to reject the changes.

Exit without changing this shift record

Click Cancel. The program prompts Override date. Select another date or leave blank to exit.

Accept the data

Click OK.

If this is a new record, the program prompts for another entry. Clear the field to return to the list of override authorizations.

Exit the program

Click Exit.
